When a user mailbox is converted to a shared mailbox in Microsoft 365, SkyKick begins backing up the new shared mailbox right away. Previously, Backup Radar would continue monitoring the original individual mailbox job, which no longer exists leading to "No Result" alerts, duplicate entries, and manual clean-up work for your team.
Backup Radar now detects this mailbox type conversion automatically and retires the stale individual mailbox job for you, so you can focus on managing your backups instead of chasing false alerts.
How it works
Once per day, Backup Radar analyzes the list of existing individual and shared mailbox backups across partners with active SkyKick integrations. When it detects that the same device has both an active individual mailbox backup and a shared mailbox backup, Backup Radar:
Automatically retires the individual mailbox backup job with a reason logged in the activity log.
Leaves any non-mailbox jobs for the same user (such as OneDrive) unaffected.
What happens to the new shared mailbox backup?
After the individual mailbox job is retired, the shared mailbox backup from SkyKick is treated like any new backup entering Backup Radar. Whether it is activated automatically depends on how your Backup Plans or templates are configured:
If you use Backup Plans: The new shared mailbox backup is automatically activated according to your configured Backup Plan as long as the plan's filters match the new backup. If your Backup Plan includes restrictive Job Name filters (for example, Equals or Contains conditions), the new shared mailbox backup may not match those rules and will need to be activated manually or the plan's filters adjusted.
If you use templates (without Backup Plans): The new shared mailbox backup is activated automatically, provided your template does not include restrictive Job Name filters. If it does, the backup may not be picked up and will need to be activated manually.
If you do not use Backup Plans or templates: You will need to manually activate the new shared mailbox backup from your Manage > Activate Backups screen.
What you'll see in Backup Radar
When an individual mailbox job is auto-retired, you can expect the following:
The retired job appears under Manage > Retired Backups with a note explaining that it was automatically retired due to a mailbox type conversion.
The new shared mailbox backup appears under Manage > Activate Backups if it was not automatically activated by a Backup Plan or template. If it was activated automatically, it appears on your Daily Activity page.
Any open tickets related to "No Result" alerts on the old individual mailbox job should be reviewed. You can close these tickets manually in Backup Radar and, if applicable, in your PSA.
Frequently asked questions
How often does Backup Radar check for mailbox type conversions?
The check runs once per day.Is the backup history for the individual mailbox preserved?
Yes. Retiring a backup preserves all historical results. You can view the retired job and its history at any time under Manage > Retired Backups. For more details, see Retiring or Deleting your backups. Can I reactivate an auto-retired backup?
Yes. Auto-retired backups can be reactivated the same way as any manually retired backup. See Reactivating your Retired Backups for instructions. However, keep in mind that if the backup still matches the auto-retirement criteria (that is, a shared mailbox backup exists for the same device), Backup Radar will automatically retire it again within 24 hours. To prevent this, you can change the job name of the reactivated backup so it no longer matches the auto-retirement rules.Does this affect OneDrive, SharePoint, or other non-mailbox backup jobs?
No. Only the individual mailbox backup job is retired. All other backup jobs for the same user remain active and unaffected.Do I need to enable this feature?
No. This runs automatically for all partners with an active SkyKick integration. There are no settings to configure. What if a mailbox is converted back from shared to individual? If the mailbox is later converted back (for example, when an employee returns to their previous role), SkyKick will begin reporting it as an individual mailbox again and Backup Radar will create a new individual mailbox backup job. However, because the shared mailbox backup still exists for the same device, the auto-retirement process will retire the new individual mailbox backup again within 24 hours. To prevent this, manually retire the shared mailbox backup first — once it is retired, the individual mailbox backup will no longer match the auto-retirement criteria and will remain active.
