Backup Radar can now automatically detect when Dropsuite user accounts have been deactivated and retire the associated backup jobs for you — no more manually cleaning up stale records or resolving false alerts.
Overview
When a user is deactivated in Dropsuite (for example, after an employee leaves the organization), Dropsuite stops backing up their data. However, Backup Radar previously continued monitoring those backup jobs and would flag them as No Result failures, since no new backups were being produced.
This meant partners had to manually retire each affected backup job and resolve the resulting alerts every time a user was offboarded, a repetitive, and time-consuming task.
With auto-retirement for Dropsuite, Backup Radar monitors the deactivation status reported by the Dropsuite API and automatically retires backup jobs for deactivated users based on your configured settings.
How It Works
Dropsuite provides a deactivated date for user accounts that have been deactivated. Backup Radar checks this field during each sync and, when a deactivation is detected, begins a configurable waiting period before automatically retiring the associated backup jobs.
Here's what happens when auto-retirement runs:
- Detection — Backup Radar identifies that a Dropsuite user account has a deactivation date set.
- Waiting period — The system waits for the number of days you've configured (to allow for accidental deactivations or temporary changes).
- Retirement — Once the waiting period has passed, the affected backup jobs are retired automatically. A clear reason is logged in the activity log for auditing purposes.
- Ticket closure (optional) — If enabled, any open PSA tickets related to the retired backups are automatically closed.
Note: Auto-retirement evaluates each backup type independently based on your settings. Non-Dropsuite backup jobs for the same user are never affected.
Supported Backup Types
Auto-retirement settings can be configured individually for each of the following Dropsuite backup types:
- Email Account Backup
- Contact Backup
- Calendar Backup
- Task Backup
- OneDrive Backup
- SharePoint Site Backup
- Teams Group Backup
This gives you full control over which backup types are retired automatically and which ones you prefer to handle manually.
Configuring Auto-Retirement Settings
Auto-retirement settings are found within your Dropsuite integration configuration in Backup Radar.
To access the settings:
- Navigate to Settings > Integrations in Backup Radar.
- Select your Dropsuite integration.
- Scroll to the Auto-Retirement section.
Available settings for each backup type:
- Enable/Disable — Turn auto-retirement on or off for each backup type individually.
- Waiting period (days) — Set the number of days after deactivation before a backup job is retired. This buffer helps prevent premature retirement in case of accidental deactivations.
- Auto-close PSA tickets — When enabled, any open PSA tickets associated with the retired backup will be closed automatically.
Note: Default auto-retirement settings are pre-configured for both new and existing Dropsuite integrations. You can adjust these defaults at any time to match your preferred workflow.
What Gets Logged
When a backup job is auto-retired, Backup Radar records the following in the activity log:
- The backup job that was retired
- The reason for retirement (user deactivated in Dropsuite)
- The date the deactivation was detected
- Whether any PSA tickets were auto-closed as a result
This ensures you always have a clear audit trail, even when retirements happen automatically.
Frequently Asked Questions
Will auto-retirement affect backups that were already manually retired? No. If you've already retired a backup job, auto-retirement skips it. It only acts on active backup jobs tied to deactivated Dropsuite accounts.
What if a user is reactivated in Dropsuite after being deactivated? If the user is reactivated before the waiting period expires, the backup job will not be retired. If the job was already auto-retired, new backup jobs will be created according to your configured Backup Plans or Templates when Dropsuite begins backing up the user again.
Can I use different settings for different Dropsuite integrations? Yes. Auto-retirement settings are configured per integration, so if you manage multiple Dropsuite connections, each one can have its own configuration.
Does this affect non-Dropsuite backups for the same user? No. Auto-retirement only applies to backup jobs within the Dropsuite integration. Other backup types (such as those from a different integration) for the same user remain unaffected.
Are the default settings applied to my existing Dropsuite integrations? Yes. Default auto-retirement settings are applied to both existing and new Dropsuite configurations. You can review and adjust them at any time from the integration settings page.
